QuickBooks has a Secret Calculator

About 8 months ago, I joined an accounting firm to serve their nonprofits. This is the first time that I’ve worked with an office full of accountants in a long long time. One of the things I appreciate is the little tips and tricks you pick up along the way that make life just a little bit easier. My number one trick I picked up about QuickBooks…QuickBooks has a secret built-in calculator!

If you’re a normal person, this probably doesn’t sound exciting. If you are a number cruncher, you know the pain of having to calculate something off to the side and then enter it into QuickBooks. You can calculate it right in pretty much any amount field. I show you exactly how in the video.

This works in QuickBooks Online as well as QuickBooks Desktop. All you have to do is start typing the numbers in and then +, -, *, or / between the numbers. You can enter what seems like an unlimited number of numbers. When done, press tab to reveal the total.

The one drawback is that, unlike with a tenkey, you can’t see the individual numbers after the total is revealed. Mainly that means that I usually don’t add together more than a dozen numbers to limit my chances of a mistake being made that I can’t easily trace.
